DAMAGED/DEFECTIVE GEAR
WAREHOUSE OPERATIONS/
Oftentimes, our gear gets damaged onsite and even at home in the warehouse. During the check-in and QCing process, it is important to identify and document when equipment is damaged or not working properly.
NOTE: If you're on show site and equipment gets damaged (and you have time), report the damage in Conductor (instructions can be found here).
At home in the warehouse, please follow these steps when you have determined a piece of equipment to be damaged or defective:
EMAIL NOTIFICATION
The employee must notify the Operations team via email following these guidelines (you can also refer to the image below for reference):
Email Subject Line: What is damaged and how / Show / Meeting Room, Keynote or Expo / Return Date
Email Body:
Hello,
This email is to formally report damaged or defective equipment identified during the return and check-in process.
Show / Job Name
Return Date:
Discipline: (Audio, Video, LED, Lighting, Cables, Rigging, Cameras, etc.)
Equipment Details:
- Barcode
- Item Name
Description of Damage: Provide a clear and concise description of the damage observed.
Condition on Arrival: Functional with cosmetic damage, non-functional, missing components, or other (please specify)
Photo(s) attached: If the damage is visible, take a photo or two that shows the damage clearly and attach them to the email.
OPERATIONS TEAM RESPONSIBILITY:
Once the email notification is received, the Operations Team must:
- Change the equipment status to Quarantine in Conductor. (Instructions can be found here.)
- Update the equipment notes to show that damage has been communicated via email.
- Ensure records are accurate and complete for future reference.

IMPORTANT:
Failure to follow this SOP may result in incomplete handoff communication, delayed equipment processing, or inaccurate inventory records.
