AFTER SHOW TASKS
WAREHOUSE OPERATIONS/
ETS has defined standardized processes for the return, inspection, check-in, and re-kitting of equipment following the completion of a show. This ensures inventory accuracy, equipment readiness, damage identification, and operational efficiency.
This information applies to all equipment returning to the warehouse and to all warehouse personnel involved in unloading, sorting, scanning, inspecting, and re-kitting equipment upon return to the shop.
DEFINITIONS:
Conductor: ETS's proprietary inventory management system used for scanning, returning, quarantining, and kitting equipment.
Case: Any container, road case, or Pelican used to transport equipment.
Tote: Plastic bins that store less fragile gear. Travel personnel also use these to store personal items that go on the road with them.
Kit: A predefined group of equipment items packaged together.
Discipline: Equipment category or department (e.g. audio, video, LED, lighting).
RESPONSIBILITIES:
1. Warehouse Manager / Lead
- Assign staff and disciplines for returns
- Ensure compliance with Operations SOPs
- Address discrepancies, missing items, and damage reports.
2. Warehouse Staff
- Unload and sort returned equipment
- Perform accurate scanning and data entry
- Conduct visual inspections
- QC equipment
- Complete re-kitting and labeling per procedure
- Escalate issues as required
PROCEDURE:
1. Equipment Receipt and Unloading
- Upon arrival, return trucks shall be unloaded promptly.
- Equipment shall be separated by discipline and equipment type during unloading.
- Equipment shall be staged in designated return areas.
- Cases shall remain closed until assigned for check-in. (Follow priority check in SOP - NEED THIS DOCUMENTATION)
2. Team Assignment
- After unloading and initial sorting, the warehouse staff will be assigned to return teams.
- Each team shall be responsible for its assigned discipline or equipment group.
- Duplication of work or cross-discipline scanning shall be avoided. Communication is key.
3. Equipment Check-In (Click here for Conductor instructions)
- Warehouse staff shall access the return/check-in function in Conductor.
- The case must always be scanned first, followed by all contents within the case.
- Every item contained in the case shall be scanned individually.
- Items without barcodes shall be manually entered into Conductor.
- Scanned items shall be verified against physical contents to ensure completeness.

4. Visual Inspection
- Each item shall undergo a visual inspection during check-in.
- Inspection shall include:

Missing components

New markings or defects​

5. Re-Kitting (Click here for Conductor instructions)
- Re-kitting is a mandatory part of the check-in process.
- In Conductor, staff shall navigate to the Kit tab.
- The kit item being assembled shall be selected. (some item will require you to create an ad hoc for the package)
- All items listed in the kit requirements shall be verified and included.
- Additional items not listed (e.g., hardware) shall also be confirmed present.
- If kit contents are unclear, staff should stop and consult the warehouse leadership (manager or most experienced employee) before closing the kit.
- Completed kits shall be confirmed as ready for the next show.

6. QR Code Labeling (Click here for Conductor instructions)
- Upon kit completion, a QR code shall be generated and printed from Conductor.
- The QR code shall be placed adjacent to the existing barcode on the case or Pelican.
- Labels shall be secure, legible, and unobstructed.

RECORDS:
- Conductor return logs

- Damage reports (if applicable)

QUALITY CONTROL:
- Periodic audits shall be conducted to verify:

SAFETY:
- Proper lifting techniques should be used at all times. (Do we need videos here?)
- Work areas should be kept clear to prevent tripping hazards
- Damaged equipment shall be handled with caution.
